Akber & Co Accountants takes the protection of your privacy very seriously. We will only use your personal information to deliver the services you have requested from us, and to meet our legal responsibilities.
To enable us to continue the services agreed upon engagement, comply with related legal and regulatory obligations and for other related purposes including the update and enhancement of client records and for management purposes, as a data controller, we may obtain, use, process and disclose personal data about you, your employees, your business, partnership, its shareholders, members, officers and employees. We confirm that when processing data on your behalf we will comply with the requirements of all relevant data protection legislation and regulation.
As an independent data controller, you are also responsible for complying with data protection legislation and regulation in respect of the personal data you process. Accordingly, where you disclose personal data to us you confirm that such disclosure complaint. Please ensure that you take the necessary steps for compliance when sending personal data, for instance password protecting the documents.
Data protection legislation and regulation places obligations on you as a data controller where we act as a data processor to undertake the processing of personal data on your behalf, for instance where we operate a payroll service for you. We therefore confirm that we will always take appropriate measures to comply with relevant requirements when processing data on your behalf. We confirm that we have adequate security measures in place and that we will comply with any obligations equivalent to those placed on you as a data controller.
Our policy is simple…
▪ We obtain information about you when you engage with us to deliver our services and/or from your previous accounting agent. ▪ We keep all information you provide to us completely confidential, no matter how or why you provide it. ▪ We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes. No personal information will be provided to any third party, except for in the unusual event that we are required to do so by law ▪ Only those employees and contractors (service providers, Companies House, HMRC, agents, subcontractors etc.) we specifically employ with relevant business duties may access personal information, and only to perform their duties. They are strictly prohibited from any other use. ▪ Whilst we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. We cannot, however, be responsible for loss or misuse of personal data which is intercepted or otherwise accessed by unauthorised persons. We therefore exclude all liability for this. ▪ We are committed to complying with EU and UK data protection laws to the extent that they apply to our use of personal information.

Your right to know
▪ We are required by legislation, other regulatory requirements and our insurers to retain your data where we have ceased to act for you. The period of retention required varies with the applicable legislation but is typically five or six years. To ensure compliance with all such requirements it is the policy of the firm to retain all data for a period of six years from the end of the period concerned. ▪ Your personal data might be accessed by other contractors or service providers (e.g. program providers, NEST, Accounting software etc.). ▪ When we share data, it may be transferred to, and processed in, countries other than the country you live in. These countries may have laws different to the UK. Rest assured, where we disclose personal data to a third party in another country, we put safeguards in place to ensure your personal data remains protected.
Examples of your personal data include your name, address, phone number, email address, Unique Tax Reference number, National Insurance number, bank account details and IP address etc. We may also request copies of your P45, P46, driver’s license, passport, national insurance number etc. for proof of identity.
You also have rights to:
▪ Know what personal data we hold about you, as well as make sure it’s correct and up to date ▪ Request a copy of your personal data, or ask us to restrict processing your personal data or delete it ▪ Object to our continued processing of your personal data
